NeftalyP007-1-1 The purpose of this policy is to define and standardize the management of accommodation arrangements for Neftaly Human Capital members, guests, learners, partners, and stakeholders during Neftaly programs, training sessions, conferences, travel, or other official engagements.
NeftalyP007-1-2 This policy ensures that all accommodation practices are conducted efficiently, ethically, and in alignment with Neftaly’s Royal Governance standards, while promoting comfort, safety, and cost-effectiveness.
NeftalyP007-2 Scope
NeftalyP007-2-1 This policy applies to:
- NeftalyP007-2-1-1 All Neftaly Royals, Deputy Chiefs, Officers, and Human Capital members.
- NeftalyP007-2-1-2 All Neftaly-sponsored accommodation arrangements, including travel, events, internships, and delegations.
- NeftalyP007-2-1-3 External guests, trainers, and stakeholders accommodated under Neftaly programs.
NeftalyP007-3 Policy Statement
NeftalyP007-7-3-1 Neftaly is committed to providing secure, affordable, and appropriate accommodation that meets operational, educational, and wellbeing standards for all Neftaly Human Capital and partners.
NeftalyP007-7-3-2 Accommodation arrangements must be transparent, justified, and pre-approved by authorized Neftaly Royals. No individual shall make unauthorized accommodation bookings or claims.

- NeftalyP007-4-1 To ensure standardized accommodation management procedures across all Neftaly programs.
- NeftalyP007-4-2 To provide safe, comfortable, and accessible accommodation for Neftaly Human Capital and guests.

NeftalyP007-5 Roles and Responsibilities

NeftalyP007-6 Procedures
NeftalyP007-6-1 Accommodation Request and Approval
- NeftalyP007-6-1-1 The requesting Human Capital completes an Accommodation Request Form (AM-F1).
- NeftalyP007-6-1-2 The form is reviewed and endorsed by the respective Royal Director.
- NeftalyP007-6-1-3 CHCO approves the request and forwards it to the Finance Officer for budget confirmation.
- NeftalyP007-6-1-4 Approved bookings are handled by the assigned Officer or authorized vendor.
NeftalyP007-6-2 Accommodation Standards
- NeftalyP007-6-2-1 Accommodation must meet basic health, safety, and accessibility standards.
- NeftalyP007-6-2-2 Preference should be given to accommodations that are:
- Cost-effective,
- Located near the event or workplace, and
- Rated appropriately for the program type (e.g., 2–3-star for local, 3–4-star for international).
NeftalyP007-6-3 Accommodation Payment
- NeftalyP007-6-3-1 Direct payments are preferred and processed through approved Neftaly vendors.
- NeftalyP007-6-3-2 Reimbursement is permitted only upon submission of valid receipts and completion of the Accommodation Reimbursement Form (AM-F2).
- NeftalyP007-6-3-3 Finance must verify all claims before disbursement.
NeftalyP007-6-4 Accommodation for Guests and Partners
- NeftalyP007-6-4-1 External guests and partners may receive accommodation arranged by Neftaly based on pre-approved budgets.
- NeftalyP007-6-4-2 All guest accommodations must be recorded in the Guest Accommodation Log (AM-F3).
NeftalyP007-6-5 Emergency and Special Accommodation
- NeftalyP007-6-5-1 In cases of emergency (e.g., travel delay, health issue), the Officer may arrange temporary accommodation with CHCO notification.
- NeftalyP007-6-5-2 Emergency cases must be documented in the Emergency Accommodation Report (AM-F4).
NeftalyP007-6-6 Monitoring and Evaluation
- NeftalyP007-6-6-1 Accommodation usage and costs will be reviewed quarterly.
- NeftalyP007-6-6-2 Audit reports and vendor performance evaluations will be recorded using the Accommodation Audit and Evaluation Form (AM-F5).
