I am honored to launch the Neftaly Human Capital Statement Management Policy (NeftalyP467), which governs how Neftaly prepares, manages, verifies, stores, and communicates statements across all Human Capital operations.

Statements—including financial statements, employment statements, compliance statements, performance statements, verification letters, and official organizational statements—reflect the integrity, transparency, and governance standards of Neftaly. This policy ensures that all statements issued by Neftaly are accurate, validated, consistent, compliant with regulations, and aligned with our ethical leadership principles.

This policy protects Neftaly from misinformation, fraud, misrepresentation, and inconsistencies by establishing clear processes, accountability structures, and quality control mechanisms.

This policy applies to:

  • All statements issued by Neftaly Human Capital.
  • All employees, departments, and officers preparing, approving, or handling statements.
  • All internal and external statements, including those issued to employees, partners, donors, government, and regulatory bodies.
  • All digital and physical statement management processes across Neftaly.

NeftalyP467-3: Definitions

Statement:
Any official written or digital document issued by Neftaly confirming facts, data, employment details, performance, compliance, financial information, or organizational positions.

Statement Management:
The coordinated process of drafting, reviewing, approving, storing, issuing, and auditing statements.

Neftaly Human Capital:
All individuals engaged or employed by Neftaly.

Officer:
Neftaly management personnel responsible for compliance, verification, and policy enforcement within their respective units.


NeftalyP467-4: Objectives

  • Ensure accuracy, completeness, and reliability of all Neftaly-issued statements.
  • Establish standard procedures for the creation, verification, approval and issuance of statements.
  • Protect Neftaly from reputational, operational, and legal risks arising from inaccurate statements.
  • Promote transparency, accountability and ethical documentation standards.
  • Ensure secure storage, traceability, and auditability of all statements.

NeftalyP467-5: Roles and Responsibilities

5.1 Neftaly Chief Human Capital Officer (NeftalyCHCR)

  • Approve and enforce the Statement Management Policy.
  • Monitor adherence to quality and compliance requirements.
  • Ensure appropriate statement management training is provided to all Officers.

5.2 Neftaly Officers / Supervisors

  • Implement statement verification and approval processes.
  • Maintain accurate records and ensure documentation integrity.
  • Report any misuse, errors, or fraudulent behavior related to statements.

5.3 Neftaly Human Capital

  • Follow all statement request and issuance procedures.
  • Ensure statements produced in their roles are accurate and compliant.
  • Report suspicious or inaccurate statements.

NeftalyP467-6: Procedures

6.1 Statement Request and Initiation

  • All statement requests must be submitted through approved Neftaly channels.
  • The requester must specify the purpose and type of statement needed.
  • Only authorized personnel may initiate statement drafting.

6.2 Statement Drafting and Verification

  • Statements must be based on accurate and validated data.
  • All statements must undergo a verification check before approval.
  • Where required, supporting documents must be attached and cross-checked.

6.3 Statement Approval Process

  • Statements must be approved by authorized officers before issuance.
  • Sensitive, financial, or regulatory statements must be approved by NeftalyCHCR.
