NeftalyP054-1-1 The Neftaly Human Capital Birthday Management Policy (NeftalyP054) establishes a structured and inclusive approach for recognizing, celebrating, and recording the birthdays of Neftaly Human Capital members. This policy aims to promote morale, unity, and appreciation within the Neftaly Royal structure, fostering a culture of recognition, belonging, and respect.
NeftalyP054-1-2 Birthday management is an essential part of Neftaly’s Human Capital engagement and wellbeing strategy, aligning with Neftaly’s values of respect, inclusion, and community.
NeftalyP054-2 Purpose
The purpose of this policy is to:
- NeftalyP054-2-1 Ensure consistent recognition of Human Capital birthdays across all Neftaly Royal Divisions.
- NeftalyP054-2-2 Foster a positive workplace culture that values individual contributions.
- NeftalyP054-2-3 Strengthen relationships and morale within teams and departments.
- NeftalyP054-2-4 Encourage inclusivity, appreciation, and organizational unity through structured celebrations.
- NeftalyP054-2-5 Maintain accurate and secure records of birthday data for planning and engagement purposes.
NeftalyP054-3 Scope
This policy applies to:
- NeftalyP054-3-1 All Neftaly Human Capital members, including permanent, part-time, volunteer, and contract members.
- NeftalyP054-3-2 All Royal Offices, Committees, and Divisions globally.
- NeftalyP054-3-3 All Officers, Deputy Chiefs, and Royal Directors responsible for Human Capital engagement.
NeftalyP054-4 Definitions
- NeftalyP054-4-1 Birthday Recognition: Formal acknowledgment of a Human Capital member’s birthday through approved communication or celebration.
- NeftalyP054-4-2 Birthday Event: A gathering, post, or small celebration organized by a Neftaly Division or Officer to honor one or more members’ birthdays.
- NeftalyP054-4-3 Birthday Officer: A designated Human Capital Officer responsible for managing birthday data and coordination.
- NeftalyP054-4-4 Royal Director: The executive accountable for ensuring the birthday management policy is implemented across their division.
NeftalyP054-5 Policy Statements
NeftalyP054-5-1 Neftaly recognizes birthdays as a key part of its Human Capital appreciation and morale programs.
NeftalyP054-5-2 All Neftaly Human Capital members shall have the option to register their birthday in the Neftaly system for recognition purposes.
NeftalyP054-5-3 Celebrations shall respect individual preferences, cultural differences, and privacy rights.
NeftalyP054-5-4 No member shall be obligated to participate in any birthday celebration.
NeftalyP054-5-5 Birthday events must be conducted within approved Neftaly budget and conduct guidelines.
NeftalyP054-5-6 Data relating to birthdays must be treated in compliance with Neftaly Privacy (NeftalyP370) and Confidentiality (NeftalyP108) policies.
NeftalyP054-6 Procedures
NeftalyP054-6-1 Registration and Record Management
NeftalyP054-6-1-1 Upon joining Neftaly, all Human Capital members shall complete the Birthday Registration Form (T054-A).
NeftalyP054-6-1-2 The Birthday Officer shall record all birthdays in the Neftaly Birthday Register (T054-B).
NeftalyP054-6-1-3 Updates to birthday data shall be submitted in writing to the Human Capital Administration Unit.
NeftalyP054-6-1-4 Birthday records shall be stored securely and updated quarterly.
NeftalyP054-6-2 Planning and Notification
NeftalyP054-6-2-1 Each Royal Division shall prepare a Monthly Birthday Plan (T054-C) listing members with birthdays for that month.
NeftalyP054-6-2-2 Notifications shall be sent to relevant Officers and Teams one week prior to the date.
NeftalyP054-6-2-3 The Royal Director shall approve any planned birthday gatherings or posts.
NeftalyP054-6-2-4 The Neftaly Media and Branding Team shall prepare official posts or announcements for organizational platforms.
NeftalyP054-6-3 Birthday Recognition and Celebration
NeftalyP054-6-3-2 Neftaly Spokesperson must on behalf of Neftaly Malatjie send a birthday message to all Neftaly Human Capital on their birthday through Neftaly Chief Human Capital Officer
NeftalyP054-6-3-3 Neftaly Chief Human Capital Officer must remind Neftaly Executive Spokesperson daily of the Neftaly Human Capital birthday
NeftalyP054-6-3-4 Birthday celebrations may include:
- NeftalyP054-6-3-4-1 A personalized message from the CEO or Royal Director.
- NeftalyP054-6-3-4-2 A group acknowledgment during a team meeting.
- NeftalyP054-6-3-4-3 A digital post on Neftaly platforms (intranet, website, or newsletters).
- NeftalyP054-6-3-4-4 A small in-office event or virtual gathering.
NeftalyP054-6-3-5 Celebrations must align with Neftaly’s values of inclusivity and professionalism.
NeftalyP054-6-3-6 No celebrations shall include inappropriate content, gifts, or expenses outside approved limits.
NeftalyP054-6-3-7 The Birthday Officer shall ensure that celebrations respect the member’s consent and preferences.
NeftalyP054-6-4 Budget and Resources
NeftalyP054-6-4-1 Birthday-related expenses shall be covered under the Neftaly Morale and Recognition Budget (linked to NeftalyP315).
NeftalyP054-6-4-2 The maximum allowable expense per individual celebration shall be determined annually by the Finance Division.
NeftalyP054-6-4-3 Shared celebrations (monthly or quarterly) are encouraged to optimize resources.
NeftalyP054-6-4-4 Expense claims must be supported by receipts and approved using the Birthday Expense Form (T054-D).
NeftalyP054-6-5 Communication and Branding
NeftalyP054-6-5-1 The Neftaly Branding and Communications Unit shall manage birthday communications on official platforms.
NeftalyP054-6-5-2 All posts must include the Neftaly Logo, in line with the Logo Management Policy (NeftalyP289).
NeftalyP054-6-5-3 Messages shall maintain professionalism, positivity, and inclusivity.
NeftalyP054-6-5-4 Personal information beyond name and department shall not be shared publicly without written consent.
NeftalyP054-7 Roles and Responsibilities

NeftalyP054-8 Compliance and Ethics
- NeftalyP054-8-1 All celebrations must reflect Neftaly’s professionalism, diversity, and respect for all individuals.
- NeftalyP054-8-2 Participation in birthday events is voluntary and should not be used as a basis for favoritism or exclusion.
- NeftalyP054-8-3 Misuse of birthday budgets or unauthorized disclosures of personal data shall result in disciplinary action.
- NeftalyP054-8-4 All related expenses and records shall be subject to internal audit (NeftalyP043).

NeftalyP054-10-1 The Royal Human Capital Committee shall review birthday management activities quarterly.
NeftalyP054-10-2 Annual feedback shall be collected from Human Capital members to improve celebrations.
NeftalyP054-10-3 A Birthday Recognition Report (T054-F) shall be submitted annually to the Chief Executive Officer.
NeftalyP054-10-4 Any deviations or ethical concerns shall be reported to the Audit and Ethics Division for corrective action.
