The Neftaly Human Capital Office Management Policy (NeftalyP326) establishes clear guidelines for the management, maintenance, organization, and operation of Neftaly offices to promote a professional, productive, and sustainable workplace environment.

NeftalyP326-1-2 This policy fosters consistency, accountability, and quality across all Neftaly offices, ensuring effective use of resources, safety compliance, and a positive working atmosphere for all Royals, Officers, and Human Capital.


NeftalyP326-2 Purpose

NeftalyP326-2-1 The purpose of this policy is to:

  • NeftalyP326-2-1-2 Ensure offices are well-organized, safe, and conducive to productivity.

NeftalyP326-3 Scope

NeftalyP326-3-1 This policy applies to:

  • NeftalyP326-3-1-1 All Neftaly offices, branches, and administrative facilities.
  • NeftalyP326-3-1-2 All Royals, Deputy Chiefs, Officers, and Human Capital managing or working within Neftaly offices.
  • NeftalyP326-3-1-3 All office management functions, including space allocation, equipment management, maintenance, supplies, and facility services.

NeftalyP326-4 Definitions

  • NeftalyP326-4-1 Office Management: The administration and coordination of office activities, resources, and operations to achieve organizational efficiency.
  • NeftalyP326-4-2 Office Administrator: The designated Officer responsible for overseeing daily office functions.
  • NeftalyP326-4-3 Office Register: The official record documenting office resources, maintenance activities, and supplies.
  • NeftalyP326-4-4 Royal Facilities: Neftaly-owned or leased office spaces approved for official operations.
  • NeftalyP326-4-5 Maintenance Request: A formal report of required repairs or adjustments to office facilities or equipment.

    NeftalyP326-7 Procedures

    NeftalyP326-7-1 Office Setup and Allocation

    • NeftalyP326-7-1-1 All new office locations must be approved by the CEO and CHCO.
    • NeftalyP326-7-1-2 A Space Allocation Plan (NeftalyD326-01) must be completed prior to occupancy.
    • NeftalyP326-7-1-3 Offices must comply with occupational health, safety, and accessibility standards.
    • NeftalyP326-7-1-4 Equipment, furniture, and signage must follow Neftaly branding and ergonomic standards.

      NeftalyP326-7-2 Office Maintenance

      • NeftalyP326-7-2-1 All maintenance issues must be reported using the Maintenance Request Form (NeftalyF326-01).
      • NeftalyP326-7-2-2 The Office Administrator logs requests in the Office Maintenance Register (NeftalyD326-02).
      • NeftalyP326-7-2-3 Maintenance must be completed within five (5) working days unless critical repairs require priority action.
      • NeftalyP326-7-2-4 Preventive maintenance schedules must be developed quarterly.

        NeftalyP326-7-3 Office Supplies and Equipment Management

        • NeftalyP326-7-3-1 Supplies and equipment must be recorded in the Office Inventory List (NeftalyD326-03).
        • NeftalyP326-7-3-2 Requisitions for supplies must be submitted using the Office Supply Requisition Form (NeftalyF326-02).
        • NeftalyP326-7-3-3 Old or damaged equipment must be reported for disposal or replacement.
        • NeftalyP326-7-3-4 Office Administrators must conduct quarterly stock reviews and submit reports to the CHCO.

          NeftalyP326-7-4 Office Conduct and Etiquette

          • NeftalyP326-7-4-1 All Royals, Officers, and Human Capital must adhere to professional behavior within offices.
          • NeftalyP326-7-4-2 Noise levels, cleanliness, and use of shared spaces must be controlled.
          • NeftalyP326-7-4-3 Confidential materials must be handled in accordance with NeftalyP108 (Confidentiality Management Policy).
          • NeftalyP326-7-4-4 Food and beverages must be consumed in designated areas only.

            NeftalyP326-7-5 Office Security and Access

            • NeftalyP326-7-5-1 Office entry is restricted to authorized personnel only.
            • NeftalyP326-7-5-2 Visitors must sign in using the Visitor Log Form (NeftalyF326-03) and be accompanied by an Officer.
            • NeftalyP326-7-5-3 Keys, access cards, and electronic passes must be issued and tracked using the Access Register (NeftalyD326-04).
            • NeftalyP326-7-5-4 Lost access credentials must be reported immediately to the CHCO.

              NeftalyP326-7-6 Office Closure and Decommissioning

              • NeftalyP326-7-6-1 Office closures must be approved by the CEO and CHCO.
              • NeftalyP326-7-6-2 An Office Decommissioning Checklist (NeftalyF326-04) must be completed before closure.
              • NeftalyP326-7-6-3 All records, supplies, and equipment must be transferred or archived appropriately.
              • NeftalyP326-7-6-4 A final inspection must be documented by the Governance Office.
